Room Reservations

Room reservations must be submitted at least 15 business days in advance using the Room Reservation Request Form. Requests are handled on a first-come, first-served basis.

Yes, recognized student clubs (ASUA, GPSC, CSIL) may reserve small meeting rooms for up to two hours, twice a week. Room charges apply for exceeding this limit, and reservations require the signature of the club’s President or Treasurer.

Cancellation Policies

Cancellations must be made at least 7 business days in advance to avoid fees. Failure to cancel within this window will result in a 100% room rental fee charge.

Cancellations for special event spaces require 30 business days’ notice. Otherwise, 100% of the room rental fee will be charged.

A no-show fee of 100% of the contracted event total will be charged if the client or guests do not attend.

Room Setup & Equipment

Altering permanent room setups will incur a $100 fee. Any damages to furniture or equipment may result in additional charges.

Rooms are equipped with a screen/monitor and one microphone (for large rooms). Additional AV needs are available for rent, or you can contract with an outside vendor.

Catering Policies

Events with food and beverages must be booked at least 14 business days in advance. Final guest counts and menu selections are required 5 business days before the event.

No, external food and beverages are not allowed within Arizona Student Unions. Catering must be provided by Arizona Student Unions vendors.

Cancellations 10-6 business days before the event will be charged 50% of the total food costs. Cancellations made 5-3 days prior will incur a 75% charge, and those canceled 24 hours or less will be charged 100%.

Other Event Considerations

Yes, any vendor or contractor on-site must provide a Certificate of Insurance. Contact your Event Planner for more information.
